POSITION SUMMARY:
This position performs general clerical duties for claims office personnel including, but not limited to, typing, filing, computer functions, record keeping and telephone duties. In this function an individual usually works under the direct or indirect guidance of a more senior employee who closely monitors work. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. QUALIFICATIONS:
Required
One (1) year minimum experience in ocean transportation industry, being familiar with related documentation (BOL, Dock Receipt, Trailer/Container Receipt TIR, Booking Note, Stow Plan, Loading Guide, etc.).
In lieu of experience in the ocean transportation industry, must have minimum one (1) year of experience assisting in claims processing.
Effective business communication in English and Spanish, both verbal and written.
Skill in composition and preparation of correspondence, reports, minutes and other written materials with accuracy and reasonable speed.
Intermediate computer skills in programs such as MS Word, Excel and Outlook.
High School diploma or equivalent.
Ability to meet and deal effectively with the customers, executives and the general public.
Well-developed interpersonal skills.
Ability to handle multiple phone lines.
Strong time management and organizational skills.
Thorough knowledge of offices practices, procedures and proper usage of office equipment.
Ability to perform and prioritize a variety of administrative assignments with minimal supervision.
Ability to work extended hours, weekends, and holidays as needed.
Preferred
Some college education.
DUTIES AND RESPONSIBILITIES:
Primary
Initial processing of all incoming claims to include the gathering and collecting of supporting documentation at the time the initial incident is created such as Bills of lading, Dock Receipts, Loading Guides, Reefer Reports, Booking notes, TIR and other pertinent supporting documentation for adjuster.
Provides information, assistance and services to the claimants, co-workers, by telephone or by other forms of communication.
Evaluate situations and inquiries in order to provide the most useful and appropriate information.
Explain to customers from our areas of service (Latin America and Caribbean), in general terms, the functions of the various claims procedures
Create all types of incidents in the eRims system (cargo, equipment, property, accidents, personal injury, etc.).
Determine if a claim must be opened at the incident level. This is determine depending on the damages reported.
Upload to the incident or claim file all documentation collected in an organized manner for easy access.
Open all types of cargo claims in the eRims system (cargo, equipment, property, accidents, personal injury, etc.).
Review of daily reported reefer failures onboard the vessels in order to determine if an incident must be created in the eRims system or if a surveyor must be appointed to inspect the cargo upon arrival at destination port.
Collect supporting documentation from Claimant when applicable.
Assignment of survey inspections.
Secondary
Provide information and assistance to claimants, vendors, co-workers via telephone or by other forms of communication.
Evaluate situations and inquiries in order to provide the most useful and appropriate information.
Provide customers the functions of the various claims procedures.
Order supplies, equipment and materials for the department.
Assist higher level staff in performance of a wide range of activities.
Provide support in a collaborative efforts as needed to co-workers.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is regularly required to sit and use his/her fingers.
The employee frequently is required to talk and/or hear.
The employee is continuously required to sit.
The employee is occasionally required to stand and walk.
The employee must occasionally lift and/or move up to 10 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
SAFETY REQUIREMENTS:
Report safety hazards.
Immediately report incidents involving injury, illness, or property damage.
Wear appropriate PPE as instructed by immediate supervisor.
Comply with all company safety policies, procedures, and rules.
Refuse any unsafe task or operation.
Participate in safety meetings and training.

SUPERVISION RECEIVED AND EXERCISED:
Receives direct supervision from the Insurance and Claims Supervisor and the Insurance and Claims Manager. Does not exercise supervision over any position.
CONDITIONS:
Indoors office, controlled temperature environment.
The noise level in the work environment is usually quiet.
